Operations Administrator

Organisation: Grace Vineyard Church

Location: City Campus (150 Ferry Road, Christchurch)

Manager: TBC

Hours of Work: TBC hours per week

Job Description

The Operations Administrator manages technical and administrative tasks that ensure the smooth day-to-day operation of the church. This role serves as a central hub within the church, working closely with staff across multiple departments and being hands-on across a wide range of operational areas. The Operations Administrator ensures that systems, communication, resources, and environments are well coordinated so that our ministries and operations can function effectively. Overseeing the Operations Assistant.

Key Responsibilities

Coordination & Strategic Support

  • Assist with administrating various ministries including Youth, Young Adults, Lifegroups, Pastoral Care, and Kids.

  • Oversee the management of sub-ministries such as Connect Cards, GROW, Baptisms, Resource Library, and Food ministry.

  • Oversight of resources and coordination of distribution between campuses.

  • Liaise with department leads regarding upcoming events and operational requirements.


Administration & Communication

  • Handle incoming/missed calls and respond to or redirect voicemails and emails.

  • Open the office/church doors during hours and warmly welcome guests.

  • Send reminders to staff regarding assigned chores and operational tasks.

  • Manage City Campus social media in conjunction with the Media team.

  • Input weekly attendance for Sunday Services.


Ordering & Resources

  • Manage ordering for all church needs including Sunday services, general operations, pastoral care gifts, and various ministries (Kids, Youth, Intermediates).
  • Order supplies for events, functions, stationery, and general office needs.
  • Provide a clear breakdown of all orders to the finance team.
  • Ensure supplies are well-stocked and maintain the redistribution of leftover food.


Scheduling & Bookings

  • Manage calendar bookings for rooms, events, and meetings.
  • Oversee prayer room bookings and access.
  • Coordinate morning tea rosters.


Operations Support

  • Manage communication and expectations with cleaners.
  • Oversee the maintenance and upkeep of the vehicle fleet.
  • Maintain the church database.
  • Coordinate building and utilities upkeep with the Maintenance Team.

  • Highly organized with strong attention to detail and the ability to multitask.
  • Excellent communication skills and a proactive, solutions-focused mindset.
  • Comfortable working collaboratively and managing assistants or volunteers.
  • Confident with digital systems and technology.
  • Aligned with the values and culture of the church.

General Responsibilities

  • Adhere to Grace Vineyard Health & Safety regulations.
  • Be a fully committed member of the team serving the church and community.
  • Execute all tasks relevant to the church’s goals, including administrative duties and assistance with programs or events as assigned.
